Booking Terms & Conditions

Thank you for choosing Soraya Tour & Safari. By confirming your safari with us, you acknowledge that you have read, understood, and agreed to the following Terms and Conditions. Should you have any questions, please feel free to contact us at: bookings@sorayaexperience.com

Booking:

  • Soraya Tour & Safari arranges transportation, accommodation, meals, excursions, and related services in collaboration with independent suppliers.
  • All information in client itineraries is accurate to the best of our knowledge at the time of confirmation. Soraya Tour & Safari is not liable for changes made by third parties or for any typographical errors.
  • To reserve a safari, we require full names (as per passport), nationality, and passport number of all participants.
  • Clients must inform us of any special requirements or preferences prior to booking, including dietary restrictions, medical needs, or disabilities. We will accommodate such requests where possible.
  • All safari packages are subject to availability and are not confirmed until officially acknowledged in writing. Due to limited capacity at many lodges and hotels, we strongly recommend booking in advance.
  • Amendments to confirmed bookings will be accommodated where possible. An administrative fee reflecting actual costs may be added to your invoice.
  • Soraya Tour & Safari reserves the right to modify tour schedules, accommodations, or services due to unforeseen circumstances prior to the start of the safari. All changes will be communicated promptly.

Prices:

  • Prices quoted include accommodation, meals as indicated, game drives, park and crater fees, ground transport, and services of an English-speaking driver/guide—unless otherwise stated.
  • Exclusions include: international/domestic flights, visas, passport fees, non-specified meals, beverages (except bottled water in vehicles), tips, gratuities, laundry, travel insurance, and personal expenses.
  • All prices are subject to change until confirmed in writing.
  • Soraya Tour & Safari reserves the right to adjust prices due to:
    – Government fees or taxes: Unannounced increases in park fees or taxes.
    – Fuel surcharges: Unexpected increases in fuel costs passed on by suppliers.
  • In both cases, any additional costs will be borne by the client or group leader. We will make every effort to minimize such increases.

Execution of the Tour:

  • While every effort is made to provide exceptional wildlife experiences, sightings are not guaranteed. Clients must always follow safety instructions from guides or park rangers.
  • Equivalent or superior standard hotels/lodges may be substituted when necessary. In rare cases, a higher standard may be suggested at an additional cost.
  • Transport type will be determined by group size and itinerary. While we ensure roadworthy vehicles, Soraya Tour & Safari is not liable for delays due to poor road conditions, punctures, or breakdowns.
  • Only authorized Soraya drivers may operate our vehicles. The guide/driver’s decisions regarding routes and safety are final.
  • We reserve the right to alter itineraries due to weather, road conditions, park closures, or safety concerns, and will arrange suitable alternatives where possible.
  • Subcontractors may be engaged to fulfill part or all of the agreed services.
  • Soraya Tour & Safari reserves the right to remove a client from the tour if their behavior poses a threat, danger, or serious inconvenience to others, property, or the environment. No refund will be issued in such cases.

Payment:

  • A 100% deposit is required upon booking confirmation.

  • Traveler’s cheques are not accepted.
  • Transactions must be made at least 2 months before you travel. 
  • For bank transfers, clients must cover all bank charges. Transfer confirmation (SWIFT copy) must be shared with us for tracking.
  • Transfers may take up to 7 working days.
  • All transfer charges shall be borne by the client.
  • A 100% deposit is required upon booking confirmation.

    • Selcom Payment Link: Subject to a 2% service fee. Transactions must be made at least 2 months before departure. Traveler’s cheques are not accepted.
    • Wire Transfer: Clients must cover all bank charges. Transfer confirmation (SWIFT copy) must be shared with us for tracking.
  • Transfers may take up to 7 working days.

  • For a seamless and secure transaction experience, we can provide a personalized payment
    link upon request.
  • Note: All transfer charges shall be borne by the client.
  • A 70% deposit is required upon booking confirmation.
  • The remaining 30% balance must be paid no later than 60 days before arrival.
  • Accepted payment methods:
    • Selcom Payment Link: Subject to a 2% service fee. Transactions must be made at least 2 months before departure. Traveler’s cheques are not accepted.
    • Wire Transfer: Clients must cover all bank charges. Transfer confirmation (SWIFT copy) must be shared with us for tracking.
  • Transfers may take up to 7 working days.

Cancellation & No Show Policy:

  • In the event of trip cancellation, the following refund policy shall apply depending on third-party service providers’ policy:
    • 10% cancellation fee if cancelled more than 90 days before the tour start.
    • 30% cancellation fee if cancelled 60-89 days before the tour start.
    • 60% cancellation fee if cancelled 30-59 days before the tour start.
    • 80% cancellation fee if cancelled 8-29 days before the tour start.
    • No refund if cancelled 0-7 days before the tour start.

Complaints:

  • We strive to exceed your expectations and welcome feedback for continual improvement.
  • Any issues should be reported immediately to our representative and the service provider. If unresolved, submit a written complaint within 30 days of the tour’s completion.
  • Complaints not submitted within this timeframe may not be eligible for consideration.

Liability:

  • While we work with carefully selected partners, Soraya Tour & Safari is not responsible for
    errors or service failures by third-party suppliers.
  • We are not liable for loss, injury, or damage to persons or property during the safari.
  • We cannot accept responsibility for lost or damaged baggage or personal belongings.
  • We are not responsible for cancellations or delays caused by circumstances beyond our control (e.g. flight delays, weather conditions).
  • It is the client’s responsibility to ensure all necessary documentation (passports, visas, health certificates) is obtained before travel.
  • Clients should seek appropriate medical advice prior to travel and take necessary health precautions.
  • Comprehensive travel insurance is highly recommended. Local evacuation coverage is available during the safari in case of emergencies.
